The ten questions that arrive at night
Many of the messages a shop, clinic or trading company receives on WhatsApp are the same ten questions: are you open, where are you, do you deliver, how much is this, do you have it in stock, how long does it take. They arrive at 11 at night and at 6 in the morning, and every one that waits until you wake up is a customer who may have asked someone else.
An AI receptionist answers those questions at once, at any hour, from facts you approved. Everything else it hands to you. That is the whole idea, and it is simpler than it sounds.
What it answers on its own
Before it goes live, you sit for one session and list what the receptionist may say: your opening hours, your locations, your delivery areas and times, your services or product groups, your payment methods, and the answers to the questions you get every day. That list is its knowledge. It does not invent anything outside it.
With that list it can:
- greet the customer and answer the common questions in the customer's language
- send your price list, catalogue or location when asked
- take an order or a booking request and repeat it back to the customer for confirmation
- tell a customer who writes at 2 in the morning when a person will reply
It understands however people write: short Gulf Arabic, a mix of Arabic and English, spelling mistakes, and, depending on the package, voice messages and a second language.
What it must never do
A good receptionist knows its limits. Ours is built to stop at three lines:
- No invented prices or promises. If a price is not in the approved list, it asks for the details and passes the request to you.
- No medical, legal or financial advice. A clinic's receptionist books the appointment; it does not diagnose.
- No arguing. A complaint goes straight to you, with the full chat, and the customer is told a person will answer.
These limits are not a weakness. They are why owners trust it with their number.
How it knows when to wake you up
The receptionist reads every message for signals: a quantity, a deadline, a word like "urgent", "complaint", "invoice", a request for a discount, or a question outside its list. When it sees one, it collects what you will need (name, what they want, when, where) and hands the chat over. You get a short summary on your phone, and the customer gets a message that a person will reply, with a time if you set one.
In the morning you open the chat and everything is already there. You reply once, with a decision, instead of starting from "hello".
What changes for the owner
Two things change. First, the phone stops being a job: the common questions answer themselves, and only real conversations reach you. Second, nothing is lost at night. The customer who wrote at 1 a.m. is still there at 8 a.m., with a complete request, because somebody answered.
It runs on your own WhatsApp Business number. You see every chat in your inbox, you can step in at any moment, and the list of what it may say is yours to change.
What it costs you in time
Less than you expect. The session takes about an hour: you talk, we write the list. Testing happens on your own number, with you sending the messages your customers send, until every answer sounds like your business. After that, the only work left is the one that was always yours: deciding on the serious requests. When a price changes or a new question starts to appear, you tell us, or you change the line yourself, and the receptionist uses the new answer from the next message on.
