Writing a company profile and tender answers that get read

A clear structure for your company profile and tender replies, and where AI can check and translate them before you send.

How do I write a company profile and tender answers that get read?

Write for a reader who is short of time. Put what you do, for whom and your proof on the first page. In a tender, answer every requirement in the buyer's own order and words, attach the evidence, and check before sending that nothing is missing. Keep one accurate profile and adapt it to each request.

Who reads your profile, and how

A company profile is rarely read from start to finish. A procurement officer, a buyer in another country or a partner opens it to answer a few questions: what do you do, have you done it before, can you deliver, and who do they call. They often read it on a phone, between other tasks.

Tender answers are read differently. The evaluator has a list of requirements and goes down it, item by item. If an answer is hard to find, it can be marked as missing even when it is somewhere in your file.

So the two documents need two habits. The profile must be fast to scan. The tender answer must be easy to check.

A company profile structure that works

Keep the first page for the essentials. If a reader stops there, they should still know enough to contact you.

  • What you do, in one sentence. For example: "We import and distribute building materials for contractors in the Gulf."
  • Who you serve. The kind of clients and the regions, described generically.
  • What you can show. Real facts only: years active, product lines, capacity, certificates you hold. Never round up or guess.
  • How to reach you. One contact role, one phone line, one e-mail, your address.

After the first page, add sections the reader can skip to: products or services, how you work from order to delivery, quality and documents, and past work described without naming clients who have not agreed to it.

Use short paragraphs, clear headings and real photos of your own work. Avoid big words such as "leading" or "world class". A buyer trusts a plain description and a list of facts more than praise.

How to answer a tender so nothing is missed

Most lost tenders are not lost on price alone. They are lost because a document was missing, a requirement was answered in the wrong place, or a form was left half empty.

A simple method helps:

  1. Copy the buyer's list of requirements into a table. One row per requirement, in their order and with their numbering.
  2. Write your answer next to each one. Use the buyer's own words, so the evaluator recognises the answer at once.
  3. Point to the evidence. For each row, name the attachment and the page where the proof is.
  4. Mark what you cannot meet. An honest "partly" with an explanation is better than silence.
  5. Check the whole file against the list before sending. Every row needs an answer and every promised attachment must be inside.

Rules for who may bid, which registrations are needed and how documents must be stamped differ by buyer and by country. Check with the authority or the buyer that issued the tender.

Where AI can help, and where it cannot

The thinking in a profile or a tender answer is yours: what you offer, at what price and with which promises. We do not replace that, and our employees do not write tenders for you. Two of them make the checking and the languages faster:

Task Employee What it does
Is my answer complete? AI Document Checker Reads the tender and your answer, checks every line against the requirements, and gives a report: passed, missing, to ask
Same file in another language AI Document Translator Translates between Arabic, English and Chinese, keeps the Word, PDF or Excel layout, and a person checks it before delivery

The Document Checker writes its reports in Arabic and English, and keeps a record of every document it has checked. The translator uses a glossary of your own terms, so your product names stay the same in every file. It is not a certified translation.

If you sell to buyers in the Gulf from China, or answer a Saudi tender in Arabic and English, this saves the long night before the deadline when every page is read again by hand.

Keep one master profile

Keep one master version of your profile, updated when something real changes: a new product line, a new certificate, a new branch. For each tender or buyer, adapt a copy rather than writing from zero. Over time you build a library of checked answers to the questions buyers ask most.

Questions

Can AI write my tender answer for me?

Our office employees do not write tenders for you. The AI Document Checker can compare your answer with the tender requirements and list what is missing, and the AI Document Translator can translate the final file between Arabic, English and Chinese.

Does a translated profile count as an official document?

Our translation is a working translation, not a certified one. If a buyer or an authority asks for a certified translation, check with them about who may provide it.

How long should a company profile be?

Long enough to answer what a buyer needs and short enough to read on a phone. Many good profiles fit in a few pages, with details in attachments.
