Where the invoices really are today
In many small businesses, the month's paperwork lives in several places at once. Some invoices are photos in a WhatsApp chat with a supplier. Some are PDFs in an e-mail inbox. Some are paper receipts in a drawer or a car.
At the end of the month someone sits down and types them into a spreadsheet, one line at a time. It is slow, it is easy to skip a receipt, and it usually happens late at night, after the real work is done.
The result is a ledger that is often incomplete, and an accountant who receives a bag of papers instead of a file.
What the AI actually does with a photo
An invoice, even a messy one, follows a pattern. There is a date, a name of who sold and who bought, an invoice number, a list of items and a total. An AI that reads documents can find these parts in a photo or a PDF.
For each invoice, the AI:
- Reads the photo or the PDF and finds the date, the other party, the invoice number and the amounts.
- Places it in the right month of your ledger, as one clean line.
- Marks what it is not sure about, for example a torn corner or a total that is hard to read, so a person checks it instead of the AI guessing.
That last point matters most. A ledger is only useful if you can trust it. A line marked "please check" is far better than a wrong number nobody notices.
The monthly ledger and the unpaid list
At the end of the month you get a ledger in Excel: one sheet you can open on your phone or your computer, sort, filter and send. There is nothing new to learn, and nothing locked inside a system you do not control.
Next to the ledger comes a second list that many owners need even more: the invoices that are still unpaid. Money you are owed is easy to forget when it sits in a chat from three weeks ago.
| Before | With an AI bookkeeper |
|---|---|
| Photos spread across chats and inboxes | One monthly ledger in Excel |
| Typing each invoice by hand | Each invoice read and placed for you |
| Unpaid invoices remembered by memory | A clear list of what is still unpaid |
| A bag of papers for the accountant | Organised files ready to hand over |
For each unpaid invoice, a polite reminder is prepared and ready to send. You read it, change a word if you want, and send it. Nothing goes to a client without you.
What it does not do
It helps to be clear about the limits, so nobody expects the wrong thing.
The AI bookkeeper organises your documents. It is not an accountant and does not give financial advice. It does not decide how an expense should be treated, and it does not file anything with any authority. Questions about tax or official reporting belong with your accountant or the authority in your country.
It also does not replace your judgement about clients. It tells you an invoice is unpaid; you decide how and when to follow up.
What it does well is the part nobody enjoys: turning a pile of photos into something tidy, every month, without skipping a receipt.
How we set it up with you
The AI bookkeeper is one of our back office AI employees. According to its package on our site, it reads photos and PDF invoices, builds a monthly ledger in Excel, keeps a list of unpaid invoices, prepares reminders ready to send, and gives your accountant clean files. You can see the full package and the current price on our services page.
In the first session we agree on simple things: where your invoices arrive today, which columns your accountant wants in the ledger, and how you like your reminders to sound. We then run it on a past month of your invoices, so you can compare its ledger with what you already know before it starts on the new month.
A practical tip while you decide: start today by sending every invoice photo to one place, for example a single WhatsApp chat or one e-mail folder. Even before any AI is involved, one place makes the month easier.
If you would like your invoice photos to become a clean ledger every month, send us a message on WhatsApp and tell us where your invoices arrive today.
