Why bookings slip through at a small clinic
Most patients in the Gulf and Yemen now write to a clinic on WhatsApp before they call. They write in the evening after work, on the weekend, or late at night when a tooth starts to hurt. Many of these messages arrive when reception is closed.
The next morning, your receptionist opens the phone and finds a long list of chats. Some patients have already booked somewhere else. Others wait for a reply while the phone at the desk keeps ringing and patients stand in front of the counter.
Then there are the missed visits. A patient books two weeks ahead, forgets, and the slot stays empty. Nobody had time to send a reminder. These small gaps add up over a month, and they are hard to see from the inside.
What the AI clinic assistant does
The AI clinic assistant is one of our AI employees, built for clinics, dental centres and beauty centres. According to its package on our site, it does five things:
- Booking and confirmation on WhatsApp. A patient asks for a time, the assistant offers the free slots you allow, books one and confirms it in the chat.
- Reminders the day before. Every patient with a booking gets a short reminder one day before the visit.
- Pre-visit forms and directions. It sends the form you want filled before the visit, and clear directions to the clinic.
- Follow-up after the visit. A polite message after the appointment, in the tone you choose.
- Never gives medical advice. It does not answer questions about symptoms, medicines or treatment. Those go to your doctor or your team.
You can see the full package and the current price on our services page.
A booking from first message to follow-up
Here is how it might work for a small dental clinic, as an example.
- At 11 at night, a patient writes: "Do you have a time tomorrow or the day after?" The assistant replies at once and offers the free times you have opened for booking.
- The patient picks a time. The assistant books it and sends a confirmation with the date, the time and the clinic name.
- It sends the pre-visit form, if you use one, and directions to the clinic.
- One day before the appointment, the patient receives a reminder.
- After the visit, the patient receives a short follow-up message.
If the same patient writes "I have pain in my jaw, what should I take?", the assistant does not answer. It tells the patient that the question will go to the clinic team, and your staff see it. This line is fixed. It is the same in every clinic we set up.
Assistant or receptionist: who does what
The assistant does not replace the people at your front desk. It takes the repeated work off their hands so they can look after the patients in front of them.
| Task | AI clinic assistant | Your staff |
|---|---|---|
| Booking and confirming on WhatsApp | Yes, at any hour | Can take over at any time |
| Reminder the day before | Yes, for every booking | No longer needed by hand |
| Pre-visit forms and directions | Yes | Answer special cases |
| Questions about symptoms or treatment | Never | Always |
| Patients at the counter and on the phone | No | Yes |
If many of your patients call rather than write, the AI voice receptionist answers the clinic phone. Each employee is its own package, and you can start with one.
You set the rules before it speaks to anyone
Every clinic works differently, so we start with one session to understand yours. In that session we agree on:
- Which times can be booked: working days, hours, and which services need a longer slot.
- What the messages say: the confirmation, the reminder and the follow-up, in your clinic's tone.
- What it never touches: medical questions, of course, and anything else you prefer to keep for your team.
- When a person takes over: for example, a patient who wants to cancel and talk to someone, or a request the assistant does not recognise.
We test the assistant on messages that look like your real patients' before it goes live. Patients write in many ways, short or long, formal or in dialect, and it has to understand all of them. After launch, you see the conversations, and we adjust the answers when a new kind of question keeps coming up.
Is it right for your clinic
The clinic assistant makes sense when patients often write after hours, when your receptionist spends a large part of the day replying to booking chats, or when empty slots from forgotten appointments are a real cost for you. It makes less sense if you see only a few patients a week and can reply to each one yourself.
If you are not sure, tell us how patients reach you today and where bookings get lost. We will tell you honestly whether the assistant, the WhatsApp receptionist or nothing at all is the right next step.
If you would like your clinic to take bookings and send reminders on WhatsApp, send us a message on WhatsApp and tell us a little about your clinic.
