How to reply to Google reviews, good and bad

A calm way to answer every Google review, what to write for praise and for complaints, and how an AI reviews manager drafts replies for you.

How should a business reply to Google reviews, good and bad?

Reply to every review, soon and in the reviewer's language. Thank good reviews by name and mention one specific thing. For bad reviews, stay calm, apologise for the experience, avoid arguing in public, and invite the person to continue privately. Keep replies short, polite and free of private details.

Why the reply matters as much as the review

A new customer looking for a clinic, a workshop or a shop near them reads reviews before they call. They read the stars, then the words, and then something many owners forget: your replies.

A business that answers every review looks awake and careful. A business with dozens of reviews and no replies looks like nobody is at the desk. A bad review with a calm, helpful reply often reassures a reader more than a page of praise.

The difficulty is not knowing what to write. It is writing it every time, on the same day, while you run the business.

How to reply to a good review

Good reviews deserve more than a copied "thank you". A short reply that sounds human is enough:

  • Thank the person by name, as it appears on the review.
  • Mention one specific thing they wrote, for example the speed of delivery or how the staff explained the work.
  • Invite them back in one sentence, without selling.
  • Write in their language. A review in Arabic gets an Arabic reply, and a review in English gets an English one.

Keep it to two or three lines. Avoid stuffing the reply with keywords or offers. Readers notice when a reply is written for search engines and not for the person.

How to reply to a bad review

A bad review stings, and the first reply that comes to mind is usually a defence. Wait before you write. The reply is read by every future customer, not only by the person who complained.

A calm reply follows a simple order:

  1. Thank them for telling you. It shows you take feedback seriously.
  2. Apologise for the experience, without arguing about the details in public.
  3. Say what you will check or change, if there is something real to fix.
  4. Invite them to continue privately, by phone or WhatsApp, so the problem can be solved.

Some things never belong in a public reply: the customer's private details, what they bought or paid, and for a clinic, anything about a visit or treatment. Do not blame the customer or your staff, and do not promise refunds or compensation in public before you have looked into the case.

If a review looks false, for example from someone who was never your customer, reply briefly and politely that you cannot find their visit and invite them to contact you. Readers will understand.

Review Goal of the reply Length
Five stars with a comment Thank, mention one detail Two or three lines
Stars only, no comment A short, warm thank-you One line
Mixed review Thank, address the weak point Three or four lines
Angry or unfair review Calm, apologise, move it private Three or four lines

Asking for reviews without pressure

Replies matter, but so does the number of reviews you receive. Most happy customers simply forget to write one. A short, polite request after the service, with a direct link, is often all they need.

Ask every client, not only the ones who seemed happy. Asking only the happy ones gives a picture that is not honest, and a steady flow of real reviews, good and mixed, reads as more trustworthy than a page of perfect scores.

What the AI reviews manager does

The AI reviews manager is one of our AI employees for the front desk. According to its package on our site, it does five things:

  • Drafts a reply the same day for each new review.
  • Writes in Arabic and English, matching the language of the review.
  • Sends angry reviews to you first, so you decide how to answer before anything is published.
  • Asks every client for a review after the service, not only the ones who seemed happy.
  • Sends a monthly report, so you see what customers praise and what they complain about.

You approve the replies. It does not argue with customers, offer discounts or make promises on your behalf. You can see the full package and the current price on our services page.

In the first session we agree on your tone, the words you never want used, and how you prefer to move an unhappy customer to a private conversation. We test the drafts with you on your existing reviews before it starts on new ones.

If you would like every review on your business to get a calm, timely reply, send us a message on WhatsApp and tell us where your customers review you today.

Questions

Should I reply to every review, even a one-word five-star review?

Yes. A short thank-you takes seconds and shows future customers that someone reads what they write.

Can I delete a bad review?

You cannot simply remove a review because you dislike it. A calm, helpful reply is usually the strongest answer, because new customers read the reply as much as the review.

Does the AI publish replies on its own?

No. It drafts the reply the same day, and an angry review goes to you first. You approve the reply before it is published.
