Most business documents are not clean files
In a trading company, a clinic or a shop, very few documents arrive as tidy digital files. A supplier sends a certificate as a scan of a stamped page. A driver sends a photo of a delivery note taken on the bonnet of a truck. An invoice comes as a picture in a WhatsApp chat. A catalogue is a PDF made from scanned pages.
For years this meant one thing: someone had to sit and type. Values from a certificate went into a spreadsheet by hand. Invoice totals were copied line by line. That typing is slow, and it is where small mistakes slip in.
Modern AI changes this. It can look at a scan or a photo the way a person does: it finds the text, understands the table, reads the stamp and the date, and works out which value belongs to which label. It reads Arabic and English, and it does not need a special template for each supplier.
What AI reads well, and what it finds hard
Reading quality depends far more on the image than on the type of document. Here is a plain picture of what to expect:
| Document condition | How well AI reads it | What to do |
|---|---|---|
| Digital PDF, made on a computer | Very well | Nothing |
| Flat, sharp scan | Well | Nothing |
| Clear phone photo, page flat and in frame | Well in most cases | Check key values |
| Photo with shadow, fold or steep angle | Some lines unclear | Ask for a better copy |
| Faded fax, small print, heavy stamp over text | Hard | Ask for the original |
| Handwritten notes | Least reliable | Read those lines yourself |
Two things matter most. The first is that the whole page is in the picture, with no corner cut off. The second is that the text is sharp enough to read when you zoom in. If you cannot read it on your own screen, the AI will struggle too.
Reading is only the first step
Turning a picture into text is useful, but on its own it does not save much time. The value comes from what happens next. Depending on the AI employee, the same reading step feeds a different job:
- The document checker reads scanned and digital documents, checks every line against a standard or your own rules, and gives a clear report: passed, missing, to ask. Reports come in Arabic and English, with a record of every document checked.
- The product importer reads PDF, photos, Word and Excel catalogues, and pulls out the specs, price and photos for every product, with Arabic and English translation. You review before anything goes live.
- The bookkeeper reads photos and PDF invoices and builds a monthly ledger in Excel, with a list of unpaid invoices, so your accountant gets clean files.
In each case the reading is the same skill. What changes is the question the AI answers after it has read the page.
Why a good system admits what it cannot read
The real danger with scanned documents is not a line the AI cannot read. It is a line the AI reads wrongly and nobody notices. A blurred digit that turns a value inside your limit into one outside it, or the other way round, can cost more than the time the reading saved.
That is why our document checker never guesses. When a value cannot be read clearly, the line is marked to ask. You see it in the report next to the lines that passed and the ones that are missing, and you can send the supplier one message asking for a clearer copy of that page.
This also changes how you work with suppliers. Once they know that blurred pages come back with a question, many start sending cleaner files.
How to get better results from your documents
A few habits make a large difference, and none of them cost anything:
- Ask suppliers for the original PDF when they have one. A file made on a computer reads better than any scan.
- Photograph pages flat, in daylight or good light, straight from above, with the whole page in the frame.
- Send one page per photo for long documents, so nothing is small or cut off.
- Keep the file as it came. Do not crop away the stamp or the header; those often hold the date and the issuer.
- Check the values that matter most yourself the first few times, until you trust how the system handles your kind of documents.
What stays with you
AI reads the document and lines up what it says. It does not test the goods, it does not judge whether a document is genuine, and it does not tell you what any authority requires. If you are unsure which certificate or standard applies to your goods, check with your customs broker or the authority in your country.
What each AI employee includes is listed on the services page.
