Why we start with a conversation, not with software
An AI employee is only useful if it does the work the way your business does it. A trading company that buys from suppliers in China does not run like a clinic, and a clinic does not run like a shop that sells on Instagram.
That is why the first step is always one session to understand your business. We do not arrive with a ready product and ask you to fit into it. We listen first, then build around the way you already work.
This also protects your time and money. If something should not be automated, it is better to find that out in a conversation than after a build.
What we ask you about
The session is a focused talk about your daily work. The questions are practical and close to the ground. For example:
- Your customers: who they are, which language they write in, and how they reach you today.
- The repeated work: which questions you answer again and again, which messages or documents you prepare every week.
- Where time is lost: the tasks you postpone, the replies that come late, the follow-ups that are forgotten.
- Your tools and accounts: your WhatsApp number, your website, your files, your spreadsheets, the apps you already pay for.
- Your rules: what the AI employee must never say or do, and when a person must take over.
- Languages and tone: Arabic, English or Chinese where the package includes it, and how formal you want the replies to sound.
You do not need to answer everything perfectly. Rough answers are fine. We ask follow-up questions until the picture is clear.
What it helps to bring
You do not need anything technical. Real examples are worth more than descriptions, so it helps to have a few of these on your phone:
- Some recent customer chats, with private details removed if you prefer.
- Your price list, catalogue or service menu.
- A supplier quotation, an invoice or a certificate, if your work involves documents.
- A short list of the questions customers ask most.
For a trading company, a typical example might be a supplier quotation in English and the Arabic offer you send to your own client. For a clinic, it might be the messages patients send before they book. These examples show us the real work far better than a long explanation.
What happens after the session
The session is the first of four steps in how we work:
| Step | What happens |
|---|---|
| Understand first | One session to learn your business, your customers and what wastes your time |
| Build and test | We build on your own number and accounts, and test before any customer sees it |
| Hand over and train | You get full control from your phone, with a short guide in your language |
| Follow up | A weekly review with numbers, and improvements based on them |
Soon after the session we reply with the next step. For employees with a fixed package, we tell you which package fits and why. For employees that are priced per project, we set the price after the session, because the price depends on the work we found. You can see how each service is priced on our services page.
Nothing is built until you agree. If the session shows that a simpler option fits you better, we say so.
How to know the session went well
A good first session ends with a clear and short description of the job, in plain words. For example: "Read every supplier quotation that arrives, put it into one table, and prepare an offer in Arabic for the owner to check." If both sides can say the job in one or two sentences, the build will be focused.
It should also end with clear limits. You should know what the AI employee will do alone, what it will prepare for your review, and what it will always pass to you. Owners stay in control, and the first session is where that control is designed.
If you would like to book your first session, send us a message on WhatsApp and tell us a little about your business.
